Status: Non-Exempt, Full-Time   

Reports to: Childcare Director

Salary: $18.40-$22.69 per hour 

Location: Oceanside, CA

This role is based in Southern California, specifically in Oceanside, CA (North San Diego County). It is located inside a military base installation. Base access is provided to civilian employees.

As our Admnistrative Lead, you'll help keep our childcare program running smoothly behind the scenes—and sometimes on the front lines! From managing family records and enrollment to supporting staff and ensuring everything stays on track with our program standards, you’ll play a big role in creating a positive, welcoming environment for both kids and adults.

What will you do:

Core Responsibilities

  • Run the show behind the scenes with systems like ProCare and Childcare Aware—keeping family info and billing accurate and up to date.
  • Be the go-to for enrollment questions and make sure all family records are complete and correct.
  • Help families access the resources they need, manage waitlists, and share info about our awesome programs.
  • Keep track of attendance, paperwork, and ensure we’re meeting all required standards and inspections.
  • Step in and lead when management is out—making sure everything stays smooth and professional.
  • Use your people skills to resolve any conflicts and help enforce policies respectfully and clearly.

Other Important Things You’ll Do:

  • Help create and share program materials and updates.
  • Be a mandatory reporter if you ever suspect abuse or neglect—we take child safety seriously.
  • Support classrooms when needed to maintain proper child-to-staff ratios.
  • ​​​​​​​Follow all program policies and procedures.

What experience and skills you will need to be successful: 

  • A degree in Early Childhood Education, Child Development, or something similar is a plus OR relevant coursework and hands-on experience in childcare programs.
  • Previous leadership or coordination experience in a childcare setting is highly desirable.
  • Must have strong communication skills and the ability to support and guide a team.
  • Comfortable handling emergencies and staying calm under pressure.
  • You’ll need to complete required training (CPR, First Aid, child development modules, etc.).
  • Must meet health and safety standards, pass drug test, and background checks, and be at least 18 years old.​​​​​​​
  • ​​​​​​​Must have one of the following: completion of USMC Standardized Module training AND 12 months of experience as ASY-3 Program Assistant OR a Child Development Associate (CDA) credential AND 12 months of experience as ASY-3 Program Assistant.
Work Environment:
This is an active role—you’ll move around a lot! You should be able to:
  • Sit, stand, kneel, walk, and lift up to 40 lbs. Must be able to sit for prolonged periods of time.
  • Work on multiple tasks at once, stay organized, and keep a clear head.
  • Safely supervise children and assist with classroom needs when necessary.
